SpeakClearly handles personal information in the course of providing speech therapy, audiology, school support, parent guidance and related administrative services. Health and medical information can constitute personal or special personal information under South Africa’s Protection of Personal Information Act (POPIA).

What information may be collected

Depending on the service, SpeakClearly may receive contact details, child and caregiver details, developmental or medical history, referral information, school information, assessment information, billing details and information needed to coordinate care.

How website forms are handled

SpeakClearly’s detailed intake, case-history and therapy-contract forms are currently embedded from Monday.com. Information submitted through those forms is transmitted to and processed through that service before being used by the practice for intake, administration and care coordination.

General email and WhatsApp are convenient contact channels for questions and appointment enquiries, but they should not be used to send more detailed clinical histories than necessary. Where a structured intake form is available, use that form for detailed case information.

Purpose of processing

  • Responding to enquiries and arranging appointments
  • Clinical intake, assessment and therapy administration
  • School or professional collaboration where appropriate and authorised
  • Billing, invoicing and medical-aid documentation
  • Operating and improving the website and services

Privacy and safeguards

SpeakClearly is committed to handling personal information lawfully, transparently and only for legitimate practice purposes. Access to clinical and administrative information should be limited to people who need it for care or authorised practice operations, and reasonable safeguards should be used to protect information from loss, unauthorised access or disclosure.

Because no internet transmission can be guaranteed to be completely secure, SpeakClearly does not describe ordinary website, email or WhatsApp communication as “medical-grade end-to-end encrypted.” Families should use the structured intake pathway for detailed clinical information and contact the practice if they need guidance on a more appropriate channel.

Third-party services

The website may use third-party services for forms, analytics, email delivery, payments or other operational functions. Those providers may process information according to their own privacy terms and the configuration used by SpeakClearly.

Your information

You may contact SpeakClearly to ask about personal information held by the practice, request correction of inaccurate information, or raise a privacy concern. Some information may need to be retained where required for clinical, legal, accounting or professional-record purposes.
